# Cleanup reconciliation

Source: [input.md](../input.md), **Brief and rules** and **CSV export**. Outputs: [cleaned.csv](cleaned.csv) and [exceptions.csv](exceptions.csv).

## Rows and preservation

- Input: 14 data rows. Output: 14 data rows in the original order. No rows were removed, merged or added.
- Every original field was preserved, including date and amount strings, name whitespace, original cost-center case, blank currency and identifiers with leading zeros. `source_row` traces each record.
- The cleaned file adds normalized name, cost center, date and amount fields, duplicate/conflict flags and scoped-total eligibility. A read-back comparison verified all original field values and row order.
- CSV preserves ID characters but does not carry spreadsheet column types. Import `expense_id` as text to retain leading zeros.

## Changes applied

- Row 1: normalized person ` Riley Chen ` to `Riley Chen`; normalized USD amount `1,250.00` to `1250.00`.
- Row 2: normalized cost center `ops` to `OPS`.
- Row 11: normalized USD refund `(45.00)` to `-45.00`.
- ISO dates were retained in normalized date fields. Row 9's `03/04/2026` stays unchanged in the original field; normalized date is blank because its locale is unknown.
- Plain numeric amounts, including EUR rows 3 and 12 and row 10's `95.00`, were copied into normalized numeric fields. Row 10's currency remains blank and it is excluded from totals. Rows 13 and 14 have blank normalized amounts; originals `TBC` and `1.234,50` were preserved.
- Rows 5 and 6 were retained. Row 6 is flagged as an exact duplicate of row 5. Rows 7 and 8 are separately flagged as conflicting records for expense ID `001006`.

## Scoped totals

Only one first occurrence of a fully clear record is eligible. These are scoped sums, not a final accounting total. No currency conversion was applied.

| Currency | Included source rows | Values included | Scoped total |
| --- | --- | --- | ---: |
| USD | 1, 2, 4, 5, 11 | 1250.00 + 85.50 + 19.99 + 65.00 − 45.00 | 1375.49 |
| EUR | 3, 12 | 240.00 + 180.00 | 420.00 |

Seven rows are included and seven excluded. No combined-currency total is reported.

| Excluded source row(s) | Expense ID | Reason / decision needed |
| --- | --- | --- |
| 6 | 001005 | Second exact duplicate of row 5. Retained; exclusion follows the brief and requires no new decision. |
| 7, 8 | 001006 | Conflicting USD amounts, 120.00 and 140.00. Confirm the valid amount or explain the records/identifiers; neither was chosen. |
| 9 | 001007 | Ambiguous date locale. Confirm date/locale; known USD amount 49.00 remains excluded because the record requires a decision. |
| 10 | 001008 | Missing currency. Confirm currency; numeric amount 95.00 is not assigned to any currency total. |
| 13 | 001011 | `TBC` amount. Supply the confirmed invoice amount; no zero substituted. |
| 14 | 001012 | Unknown locale for `1.234,50`. Confirm locale and value; no numeric value inferred. |

## Exceptions and remaining limits

The exception file contains seven entries covering seven source rows: 6, 7, 8, 9, 10, 13 and 14. Each entry includes source row, expense ID, issue, treatment and decision needed.

All requested files were created. Conflicting amounts, the ambiguous date, missing currency, pending invoice amount and ambiguous amount locale remain unresolved. Inputs were preserved; no payment, live-system write or external sending occurred. Source accuracy and final accounting totals cannot be established from this pack alone.

# Reconciliation

Source: `input.md` (unchanged). Outputs: `cleaned.csv`, `exceptions.csv`, this note. `build.py` is the script that produced them. IDs are kept as text (e.g. `001001`). Nothing was written to a live system or sent anywhere.

## Row counts
| Item | Count |
|---|---|
| Input rows | 14 |
| Rows in cleaned.csv (same order, none deleted or merged) | 14 |
| Difference | 0 |
| Rows included in scoped totals | 7 |
| Rows excluded from scoped totals | 7 (7 + 7 = 14) |
| Exception log entries | 8 (6 need a decision, 2 are informational) |

## Transformations applied (original fields never altered)
- `person_clean`: whitespace trimmed (row 1).
- `cost_center_clean`: uppercased (row 2).
- `date_iso`: set only for YYYY-MM-DD dates; blank for row 9.
- `amount_value`: grouping commas removed (row 1); parentheses read as a negative USD refund (row 11, -45.00). Blank for rows 13 and 14.
- `record_flag` / `conflict_flag`: duplicates and conflicts are flagged separately.

## Scoped totals (not a final accounting total)
Rule: first occurrence of a fully clear record (known-format date, currency and amount; no conflict). No currency conversion.

| Currency | Rows included | Total |
|---|---|---|
| USD | 1, 2, 4, 5, 11 | 1,250.00 + 85.50 + 19.99 + 65.00 - 45.00 = **1,375.49** |
| EUR | 3, 12 | 240.00 + 180.00 = **420.00** |

## Excluded rows
| Row | Reason |
|---|---|
| 6 | Exact duplicate of row 5 (second occurrence); retained and flagged |
| 7, 8 | Same expense_id 001006, amounts 120.00 vs 140.00 (conflict); both retained |
| 9 | Date `03/04/2026` has unknown locale (amount 49.00 USD is otherwise clear) |
| 10 | Currency missing (95.00); not assumed |
| 13 | Amount `TBC`; not treated as zero |
| 14 | Amount `1.234,50` has unknown locale |

## Unresolved decisions
1. Row 6: confirm it is a duplicate of row 5, and whether to remove it later.
2. Rows 7/8: which amount is correct, or are they separate expenses?
3. Row 9: is `03/04/2026` 3 April or 4 March?
4. Row 10: what currency is the 95.00?
5. Row 13: final invoice amount.
6. Row 14: number locale of `1.234,50`.
7. A combined figure needs an authorized conversion rule.

I cleaned the export into a new copy, and all 14 source rows are kept in order with none deleted or merged. `input.md` is unchanged. I ran the cleaning script once and checked the output counts against it; I did not re-check the rows by hand.

**What changed in the new copy**
- **Original fields:** untouched, with IDs kept as text (`001001` stays `001001`).
- **Added columns:** normalized values and flags are in new columns. Row 1's name is trimmed, row 2's cost center is uppercased, and row 11's `(45.00)` becomes -45.00.
- **Duplicate and conflict flags:** row 6 is flagged as an exact duplicate of row 5, and rows 7 and 8 are flagged as a conflict on ID 001006 (120.00 vs 140.00). Both kinds stay in the file.
- **Unclear values:** the date `03/04/2026`, the missing currency, `TBC` and `1.234,50` are left as they were. The matching normalized cell is blank, so no amount became zero and no currency was assumed.

**Row counts:** 14 in, 14 out. 7 rows are in the scoped totals and 7 are excluded.

**Scoped totals** (first occurrence of fully clear records only, no currency conversion, not a final accounting total):

| Currency | Rows included | Total |
|---|---|---|
| USD | 1, 2, 4, 5, 11 | 1,375.49 |
| EUR | 3, 12 | 420.00 |

**Excluded from totals:** row 6 (duplicate), rows 7 and 8 (conflict), row 9 (date format unknown), row 10 (currency missing), row 13 (amount `TBC`) and row 14 (amount format unknown). `reconciliation.md` gives the reason for each.

**Decisions I need from you**
1. Is row 6 a true duplicate of row 5, and should it be removed later?
2. For rows 7 and 8, which amount is correct, or are they separate expenses?
3. Is `03/04/2026` (row 9) 3 April or 4 March?
4. What currency is the 95.00 in row 10?
5. What is the final invoice amount for row 13?
6. Does `1.234,50` (row 14) mean 1,234.50 or something else?
7. If you want one combined figure, I need an authorized conversion rule.

# Reconciliation: expense export cleanup (synthetic sample)

Source: `input.md` (CSV block, 14 data rows). The input was read only and not modified. SHA-256 was `0e235a93df338d6347c4f574f15e615203353e69773b516724fea3c4d1c2edd7` before and after the run.
Outputs: `cleaned.csv`, `exceptions.csv`, this note. Nothing was written to a live system, and no payment, accounting entry or external transmission took place.

## Row counts

| Measure | Count |
|---|---|
| Source data rows | 14 |
| Rows in `cleaned.csv` | 14 (same order, source_row 1-14) |
| Rows deleted or merged | 0 |
| Rows with no issue flag | 7 (1, 2, 3, 4, 5, 11, 12) |
| Rows flagged | 7 (6, 7, 8, 9, 10, 13, 14) |
| Exception log entries | 7 (EX01-EX07, one per flagged row) |

Check: 7 clear + 7 flagged = 14 = source rows.

## Rules applied (all from the brief)

- Every original column is kept unchanged. The normalized values go in new columns: `date_normalized`, `amount_normalized`, `currency_normalized`, `person_normalized` and `cost_center_normalized`.
- All fields are written as quoted text, so `expense_id` keeps its leading zeros (for example `001001`).
- Dates already in YYYY-MM-DD are copied over. `03/04/2026` (row 9) is not converted because its locale is unknown.
- USD amounts using comma thousands grouping and a dot decimal are normalized, so `1,250.00` becomes `1250.00`. A parenthesized amount is read as a negative refund, so `(45.00)` becomes `-45.00`. `1.234,50` (row 14) and `TBC` (row 13) are left blank in `amount_normalized`; neither is set to zero.
- A missing currency (row 10) stays blank and is not inferred.
- Surrounding whitespace is trimmed from names (row 1) and cost-center codes are uppercased (row 2, `ops` to `OPS`). People are not merged.
- Exact duplicate (row 6 repeats row 5): flagged in `duplicate_of_source_row` and kept.
- Conflict (rows 7 and 8: same ID 001006 with amounts 120.00 and 140.00): both kept, both flagged in `conflict_group`. This is logged separately from the duplicate.

## Scoped totals (not a final accounting total)

Included rows: the first occurrence of each fully clear record (`in_scoped_total = yes`). Each currency is summed separately and no conversion is applied.

| Currency | Rows included | Amounts | Scoped total |
|---|---|---|---|
| USD | 1, 2, 4, 5, 11 | 1250.00 + 85.50 + 19.99 + 65.00 + (-45.00) | **1375.49 USD** |
| EUR | 3, 12 | 240.00 + 180.00 | **420.00 EUR** |

Excluded rows (7):

| Row | ID | Reason excluded |
|---|---|---|
| 6 | 001005 | Exact duplicate of row 5; only the first occurrence is counted |
| 7 | 001006 | Conflicts with row 8; needs a decision |
| 8 | 001006 | Conflicts with row 7; needs a decision |
| 9 | 001007 | Date locale unknown (USD 49.00 is left out) |
| 10 | 001008 | Currency missing (amount 95.00 cannot be assigned to a currency) |
| 13 | 001011 | Amount unknown (TBC) |
| 14 | 001012 | EUR amount locale unknown (`1.234,50`) |

Once the decisions below are made, the totals will change. For example, the row 7/8 choice adds 120.00 or 140.00 USD, and row 9 would add 49.00 USD once its date is confirmed.

## Unresolved decisions

1. Row 6: is this a double export (can be dropped downstream) or a genuine second expense?
2. Rows 7/8 (ID 001006): which amount is correct, 120.00 or 140.00, or are these two separate expenses that need distinct IDs?
3. Row 9: is `03/04/2026` 3 April 2026 or 4 March 2026?
4. Row 10: what currency is the 95.00?
5. Row 13: what is the invoiced amount?
6. Row 14: what is the intended value of `1.234,50` EUR (comma-decimal would give 1234.50)?
7. Any combined cross-currency total would need an authorized conversion rule and rate. None was provided, so none was applied.

I cleaned the export according to its brief. All 14 source rows are still there in their original order, and nothing was deleted or merged. Seven rows are clear and seven are flagged with an issue, each with one entry in the exception log. `input.md` was not changed: its checksum is the same before and after.

**What changed:**
- **Original columns:** all kept unchanged. The cleaned values are in new columns next to them.
- **IDs:** stored as text, so leading zeros like `001001` are kept.
- **Dates:** those already in YYYY-MM-DD format were copied to the new date column.
- **Amounts:** `1,250.00` became `1250.00`, and `(45.00)` became `-45.00` because the brief says parentheses mean a refund.
- **Names and cost centers:** the extra spaces around " Riley Chen " were removed, and `ops` became `OPS`.
- **Not filled in:** row 9's date, row 13's amount (`TBC`), row 14's amount (`1.234,50`) and row 10's currency are left blank in the new columns. No unknown amount was set to zero and no currency was guessed.
- **Duplicates and conflicts:** each kind is flagged in its own column. Row 6 is marked as an exact copy of row 5. Rows 7 and 8 share an ID but have different amounts, and both are marked as a conflict.

**Partial totals** (only the clear rows, counting row 5 but not its copy; not a final accounting total; no currency conversion):

| Currency | Rows included | Total |
|---|---|---|
| USD | 1, 2, 4, 5, 11 | 1375.49 |
| EUR | 3, 12 | 420.00 |

Rows 6, 7, 8, 9, 10, 13 and 14 are left out of the totals, and the reason for each is listed in `reconciliation.md`.

**Decisions needed from you:**
1. **Row 6:** is it a double export, or a real second expense?
2. **Rows 7 and 8 (ID 001006):** is the correct amount 120.00 or 140.00, or are these two separate expenses?
3. **Row 9:** is `03/04/2026` 3 April or 4 March?
4. **Row 10:** what currency is the 95.00 in?
5. **Row 13:** what is the invoiced amount?
6. **Row 14:** what is the intended value of `1.234,50` EUR? Reading the comma as a decimal point would give 1234.50, but the brief says the format is unknown.
7. **Combined total:** a single total across USD and EUR would need an approved conversion rate, and none was given.

The totals will change once these are settled. For example, rows 7/8 would add 120.00 or 140.00 USD, and row 9 would add 49.00 USD.

Nothing was sent anywhere or written to any live system.

# Expense Data Cleaning - Reconciliation Report

## Row Count Reconciliation

- **Input rows**: 14
- **Output rows (cleaned.csv)**: 14
- **Status**: All source rows preserved in order as required

No rows were deleted or merged. All 14 source rows appear in cleaned.csv with original fields intact and normalized fields added.

## Data Quality Issues Summary

10 exception records were identified and logged in exceptions.csv:

### Automatic Transformations Applied (no decision needed)
1. **Row 1** - Person name whitespace trimming: " Riley Chen " → "Riley Chen"
2. **Row 2** - Cost center uppercase: "ops" → "OPS"
3. **Row 11** - Refund parentheses conversion: "(45.00)" → -45.0

### Issues Requiring Decisions
1. **Rows 5 & 6** - Exact business-record duplicate: Both records retained, flagged for review. Decision: determine if one should be removed.
2. **Rows 7 & 8** - Conflicting expense ID (001006) with different amounts ($120.00 vs $140.00). Both retained. Decision: reconcile and confirm correct amount.
3. **Row 9** - Date format ambiguous: 03/04/2026 could be DD/MM or MM/DD (locale not recorded). Original field unchanged. Decision: confirm locale, convert to YYYY-MM-DD.
4. **Row 10** - Missing currency value. Amount is 95.00 but currency unknown. Decision: confirm currency type.
5. **Row 13** - Amount is TBC (To Be Confirmed), awaiting invoice. Decision: provide final amount when invoice received.
6. **Row 14** - Amount format ambiguous: "1.234,50" uses European locale (. as thousands separator, , as decimal). Original field unchanged. Decision: confirm locale and convert.

## Rows Excluded from Scoped Totals and Why

| Row | Expense ID | Reason for Exclusion |
|-----|-----------|---------------------|
| 6 | 001005 | Exact duplicate of row 5; included row 5 only to avoid double-counting |
| 7 | 001006 | Conflicting amount with row 8 ($120.00 vs $140.00); decision needed to determine correct value |
| 8 | 001006 | Conflicting amount with row 7 ($140.00 vs $120.00); decision needed to determine correct value |
| 9 | 001007 | Date locale unknown (03/04/2026); row requires decision; retained with original amount in case needed, but excluded from scoped total |
| 10 | 001008 | Currency field is empty; cannot confirm currency or include in currency-specific totals |
| 13 | 001011 | Amount is TBC (To Be Confirmed); not yet finalized; awaiting invoice |
| 14 | 001012 | Amount locale unknown ("1.234,50"); cannot parse as definitive numeric value; decision needed |

---

## Normalized Fields

The cleaned.csv includes the following normalized fields alongside originals:

- **person_normalized**: Trimmed leading/trailing whitespace
- **cost_center_normalized**: Uppercase
- **date_normalized**: Kept in YYYY-MM-DD format; empty for ambiguous dates pending clarification
- **currency_normalized**: Preserved; empty if original was empty
- **amount_normalized**: Converted to float where unambiguous; refunds converted from parentheses to negative values; empty for non-numeric or ambiguous locale values

---

## Notes

- **No currency conversions**: USD and EUR totals are reported separately per brief requirements. No exchange rate conversion is applied.
- **Scoped totals only**: These are totals of clearly identified, eligible records for analysis purposes, not a final accounting total. Records requiring decisions are explicitly excluded.
- **Original preservation**: All original fields (date, amount, currency) are retained unchanged. Normalized fields allow for audit trail and decision-making.
- **Source row traceability**: The `source_row` column in cleaned.csv preserves the original row number for cross-reference with input.md.

---

## Outstanding Decisions Required

Before final reconciliation or payment processing, the following must be resolved:

1. **Rows 5 & 6**: Confirm whether the duplicate record should be removed or both retained (e.g., separate cost centers or timing).
2. **Rows 7 & 8**: Reconcile conflicting hotel adjustment amounts; determine which is correct or if both should be processed separately.
3. **Row 9**: Clarify date format (is 03/04/2026 March 4 or April 3?).
4. **Row 10**: Provide currency type for the $95.00 training expense.
5. **Row 13**: Obtain final invoice amount to replace TBC.
6. **Row 14**: Confirm amount locale (is 1.234,50 EUR = 1,234.50 or something else?).

No further changes will be applied until these decisions are made.

3. **reconciliation.md** — Complete audit trail with row count reconciliation, transformation rules applied, excluded rows explained, and currency-separated scoped totals

**Transformations Applied (safe, no ambiguity):**
- Row 1: Person name trimmed (" Riley Chen " → "Riley Chen")
- Row 2: Cost center uppercased ("ops" → "OPS")
- Row 11: Refund parentheses converted to negative ("-45.0")

**Row Count Reconciliation:**
- Input: 14 rows
- Output: 14 rows (zero silently deleted or merged)
- All original fields preserved with normalized fields alongside

**Scoped Totals (currency-separated, decision rows excluded):**
- **USD Total: 1,375.49** (rows 1, 2, 4, 5, 11)
- **EUR Total: 420.00** (rows 3, 12)

---

## Outstanding Decisions Required

Six issues require your decision before final processing:

1. **Rows 5 & 6** — Exact duplicate (same ID, amount, person, date, category). Both retained. Decision: remove one or keep both?

2. **Rows 7 & 8** — Same expense ID (001006) with conflicting amounts ($120.00 vs $140.00). Both retained. Decision: which amount is correct, or should both be processed separately?

3. **Row 9** — Date "03/04/2026" locale unknown (DD/MM or MM/DD?). Decision: confirm date format and provide YYYY-MM-DD conversion.

4. **Row 10** — Currency missing. Amount is 95.00 but currency unknown. Decision: confirm currency type (USD, EUR, or other).

5. **Row 13** — Amount is TBC (awaiting invoice). Decision: provide final amount when received.

6. **Row 14** — Amount "1.234,50" locale unknown (European format?). Decision: confirm locale and provide numeric value.

All files are ready for review and no data has been sent outside this folder.

How we ran it

Instruction · Input · Codex run report

All four runs received byte-identical instruction and input files, with one run per agent. Codex (GPT-6.1 Sol, high reasoning) ran locally on 13 October 2026; its report records an earlier, unrelated task in the same receiver. Claude Sonnet 5.5, Opus 5.5 and Haiku 4.5 ran as Claude Code subagents at medium effort on 22 October 2026, each in a folder holding only the instruction and input, with a request not to read other directories or use the web. These are different recorded setups. The tool-call audit records an additional temporary checksum file outside the Opus run folder; its bytes were not retained.

Codex

Model
GPT-6.1 Sol, high reasoning
Environment
Local Codex agent
Setup
Instruction and input pack only. Per its report, the receiver had earlier run a different task (a weekly update) but saw no spreadsheet answer or designed example.

Claude Sonnet 5.5

Model
claude-sonnet-5-5
Environment
Claude Code subagent, medium reasoning effort
Setup
A folder holding only instruction.txt and input.md. The prompt was the instruction text, preceded by: work only in this folder, do not read other directories, do not use the web.

Claude Opus 5.5

Model
claude-opus-5-5
Environment
Claude Code subagent, medium reasoning effort
Setup
As for Claude Sonnet 5.5.

Claude Haiku 4.5

Model
claude-haiku-4-5-20251001
Environment
Claude Code subagent, medium reasoning effort
Setup
As for Claude Sonnet 5.5.

The three Claude runs' recorded tool calls were checked on 22 Oct 2026 for any file path outside each run's folder. The Codex run predates this field test; its own record is in the site's recorded-run folder.

Claude Code subagent transcripts do not show the full system context, so whether the repository's own instruction files reached the three Claude runs is not recorded.

This site and the three Claude runs were prepared using Claude models. The Codex run was made separately, on 13 October.
